Construction Project Administrator

We have an exciting opportunity for an experienced Construction Project Administrator to join our team. This position will support the Project Managers and will handle multi-projects at the same time and various administration duties throughout the day. The ideal candidate must have previous experience in the construction industry, customer service, be organized, detail-oriented and the ability to interact with numerous individuals.


  • Preparing and distributing documents and correspondences for site supervisors, project coordinators, project managers, vendors, contractors and consultants (site instructions, transmittals, shop drawings, document revision control, requests for information, requests for pricing, change orders, etc.)

  • Collecting and maintaining contractors’ or subcontractors’ documents, such as Form 1000, safety policy, insurance and WSIB

  • Review all project bills for accuracy and follow up with vendor when there are discrepancies.

  • Work with the Project Management team & Accounting department to ensure accuracy and timeliness of contract documents and billings

  • Various administrative duties and related document control including meeting minutes, purchase order protocols

  • Creating & maintaining forms & policies

  • Additional duties as required


  • 3-5 years of practical project or contract administration experience in a similar role

  • Ability to read and understand engineering drawings and specifications

  • Experience working within the construction engineering environment and knowledge of construction processes

  • Exceptional communication skills, both verbal and written

  • Able to work under pressure and effective multitasking

  • A dedicated team player with excellent interpersonal skill

  • Ability to work as a member of a team, as well as independently, with minimum supervision

  • Ability to handle multiple projects at the same time with excellent follow-up skills

  • Detail oriented, with excellent organizational, communication and customer service skills

  • Proficiency in AutoCAD, Microsoft Office, especially Excel & Word



  • Working towards Architect designation is preferred.
